By visiting, donating, or making a purchase at the ENCORE Bookstore, using our website, donating online, or signing up for our membership and other services, you consent to the Processing of your Personal Data as described in this Privacy Policy.   • Volunteer and Board contact details

 Automatically collected information:

  • Website usage data such as IP address, session date/time, and cookies
  • Email performance data such as open and bounce rates (from Mailchimp)

We do not collect or store information about children under 13.

We do not gather information about you that is publicly available.

 Sensitive Information

We do not directly collect any sensitive information; however, if you pay for your bookstore purchase by credit card, your information is stored in Square, our credit card processor. We do not have the full information as it is stored per the Payment Card Industry compliance standards. See Square’s privacy policy listed below.

 How We Store and Protect Your Information

We store membership and donor information securely in password-protected files and online services used only by authorized officers.

  • Payment data is handled by Square (PCI-compliant).
  • Newsletter data is managed by Mailchimp (Intuit).
  • Member data is stored on a password-protected computer and cloud backup.

We take reasonable administrative and technical steps to protect your information and will notify you and appropriate authorities in the event of a data breach.

 Keeping your personal information up to date
We take all reasonable action to ensure that the information we collect and use is accurate, complete, and up-to-date.

However, the accuracy of the information depends to a large extent on the information you provide. That’s why we recommend that you

  • Keep us up-to-date with changes to your information such as your name and address; and
  • Let us know if there are any errors in the information

You have the right to access your data and to ask us to make any changes to ensure that any Personal Information we hold about you is accurate and up to date. To access your data or to make changes, simply send us an email with the old and new information so we can update our records.

You have the right to ask us to erase Personal Information we hold about you that is not legally required. To do so, email vistafriendsofthelibrary@gmail.com with your request.

We retain personal information only as long as needed to:

  • Complete a transaction or provide a service,
  • Maintain organizational records required by law, or
  • Comply with IRS and California Attorney General reporting obligations.

After that, your data is securely deleted.
